 Coordinator of Class Giving

This position is responsible for assisting the Director of Class Giving Programs in coordinating alumni class gift project fundraising efforts and supporting the Director of Special Projects.

The focus of the Class Giving Program is to solicit the financial support of alumni and friends for designated class fundraising project initiatives.

The incumbent must coordinate with the Directors and other Foundation staff to ensure the coordinated execution of fundraising programs.

The position reports directly to the Director of Class Giving Programs; provides administrative support to the Director of Special Projects, and other Foundation offices as available at the Foundation.

Major Duties and Responsibilities:
  • Provide dedicated executive assistant support for the Director of Class Giving Programs, including class volunteer and project coordination, correspondence preparation, both project and prospect tracking and management, document management, and meeting and travel scheduling.
  • Efficient and accurate in Microsoft Office: Microsoft Word mail merges and mail merges pulled from queries; Microsoft Excel data sorting and manipulation; Microsoft PowerPoint brief preparation and formal presentations.
  • Correspond and communicate effectively, efficiently and in a timely manner with class presidents, class fundraisers and donors via letters, phone or email.
  • Efficient and accurate (quickly adaptable) in the use of the Raiserís Edge database, including Reports, Query, Export, Mail, Events, and Constituent Management.  Able to enter relevant fundraising project and prospect data, and understand and assimilate details within the RE database program.
  • Assist in the preparation of all Class Legacy Gift Memorandum of Understanding and Gift Agreements.
  • Prepare required and requested class project fundraising reports. Assist alumni class leadership (presidents/fundraisers) in the development and translation of all class fundraising reports.
  • Maintain regular and open communications with class project leadership and maintain an excellent working relationship with fellow Alumni Association/Foundation staff, faculty and staff, and alumni and friends.
  • Assist donors in executing outright gifts for Association and Foundation funds.
    a. Manage phone contact with donors who announce impending donations.
    b. Share the appropriate stock transfer information (depending on designation) and alert Treasury staff of the impending stock transfer.
    c. Prepare gift acknowledgement letters as appropriate or assigned.
  • Organize class fundraising meetings and coordinate attendees as assigned.
  • As available, assist the Director of Special Projects by providing administrative assistance.
  • Other duties as assigned.

Preferred Qualifications:

  • In-depth knowledge of and proficiency in the Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • High degree of proficiency/adaptability with Raiserís Edge fundraising database/software.
  • In-depth knowledge of and efficiency in database queries, exports and reports.
  • Demonstrated ability to analyze data and other information.
  • Excellent verbal and written communication skills (letters, email and telephone communications).
  • Highly organized, particularly in the development of written correspondence (Memorandums of Understanding, Gift Agreements).
    Service oriented.
  • Ability to work well with colleagues and constituents, including class officers, class fundraisers, donors, prospects and volunteers.
    Working understanding of budgetary principles and guidelines.
